For a well maintained inbox, delete (or
archive) your sent and old e-mails. All mail clients offer varying
ways of deleting e-mail. One way is to move your deleted e-mail directly
to the Trash folder and expunge the messages when you exit your e-mail.
A second choice is to mark each e-mail to be
deleted as deleted (the e-mail will remain in your Inbox but will be
marked as deleted) and it can be deleted manually or when you exit the
e-mail system. The last option is to have the e-mail removed
immediately once you click the Delete key. E-mail should never be
stored in the Trash folder.
If the option to move e-mail to the Trash folder is selected, you will
need to remember to empty the Trash folder periodically. If the option
to mark e-mail as deleted is selected, you will either need to select the
Purge or Compact Folders command to remove the unwanted messages from
the Inbox. If the option is selected to Remove Deleted E-mail
immediately, the ability to retrieve a file deleted by mistake
becomes more difficult.

systems, go to: http://www.helpdesk.umd.edu/topics/applications/email/
