Information On E-mail Attachments

E-mail attachments are a quick way of transferring files, pictures, and jokes to business partners, and friends. The e-mail message itself does not take up much space in the customer's account; however, the attachment included with the e-mail can take up enormous amounts of space. When a message is forwarded from person to person and each person adds a little bit more text (and, possibly, more attachments) one very large file has been created.

If you are close to maximizing your account space, it is important to understand the conversion that is used to dictate "size." The terms the computer uses are: Byte, Kilobyte, Megabyte, Gigabyte, Terabyte, Petabyte, and Exabyte. The average text-only e-mail can range from 2KB (Kilobyte) to 40KB or more. Picture or file attachments can take a file up to 6000KB or more per e-mail message, and the Mail@umd e-mail system has a 10MB limit on the file size.

  • 1,024 Byte = 1 Kilobyte (KB)
  • 1,048,576 Kilobyte (KB) = 1 Megabyte (MB)
  • 1,073,741,824 Bytes = 1 Gigabyte (GB)
  • 1,099,511,627,776 Gigabyte (GB) = 1 Terabyte (TB)

This means that an e-mail attachment that is listed as 6000KB is actually taking up 5.85MB (Megabytes) of the e-mail account space. Attachments saved within e-mail may store the files for you but will quickly use the default disk space. It is always best to download any attachments into a folder on your hard drive and then delete the e-mail.

When the e-mail account is running low on available space, the size of each message can be shown to help direct the user to the problem spots. Clients vary on how to do this.

Mozilla Thunderbird

  • Launch Thunderbird
  • Click the Column Selector Widget icon (on the right of the Column Headers at the top of the Thread Pane) and a listing of Column Headers appears

  • Select Size (a check mark to the left of the column header means that header is currently showing)
  • Release the mouse and the Size column should appear

SeaMonkey

  • Launch SeaMonkey
  • Click the Show⁄Hide Columns icon (on the right of the Column Headers at the top of the Mail Window) and a listing of Column Headers appears

Outlook 2003

  • Launch Outlook 2003
  • Select the View menu and then Arrange By
  • Click Current View
  • Click Customize Current View
  • Click the Fields button
  • Click Size in Available fields
  • Click the Add button
  • Click the OK button twice

Outlook 2007

  • Launch Outlook 2007
  • Select the View menu and then Arrange By
  • Click Customize Current View
  • Click the Fields button
  • Click Size in Available fields
  • Click the Add button
  • Click the OK button twice

Outlook Express

  • Launch Outlook Express
  • Select View then Columns from the Menu Bar
  • Click Size to select
  • Click the OK button
