Configuring Outlook XP and Outlook 2003 to use Mail@umd

Note for Windows 2000 Users:
Before you proceed with the instructions below, make sure that Outlook and Windows 2000 are capable of using 128-bit encryption to secure the messages being sent to and from the Mail@umd mail server. The easiest way to determine this is to open Microsoft Outlook, click on Help on the menu bar, and choose About Microsoft Outlook. In the second paragraph of text, look for the phrase Cipher Strength and make sure the cipher strength is listed as 128 bits. If it is not, then you will have to download and install the Windows 2000 High Encryption Pack before you proceed with configuring Outlook XP or Outlook 2003.


The following instructions will guide you through configuring Outlook XP or Outlook 2003 to access your Mail@umd account:

  1. Open Outlook.  On the menu bar, click on Tools and then choose E-mail Accounts from the Tools menu.
  2. In the window that appears, choose Add a new e-mail account.  Click on the Next button.

  3. In the next window, you are prompted to choose the type of server you will be connecting to.  Choose IMAP and click on the Next button.

  4. In the next window, you need to enter the following information:

    • Your name:  Your real name
    • Your e-mail address:  Your e-mail address on the Mail@umd system, which is based on your University Directory ID. For example, if your University Directory ID is "test", then your e-mail address would be "test@umd.edu"
    • The incoming mail server:  Set this to mail.umd.edu
    • The outgoing mail server:  Set this to mail.umd.edu
    • User Name:  Enter your University Directory ID.
    • Password:  Enter your University Directory password (it will be displayed as asterisks). Make sure the Remember password box below the password is checked.

  5. When you are done, click on the More Settings button.

  6. The Internet E-Mail Settings window will appear.  Click on the Outgoing Mail tab. Make sure My outgoing server (SMTP) requires authentication is checked.

  7. Click on the Advanced tab
  8. Under Server Port Numbers you will see:
    • Incoming server (IMAP) - select This server required an encrypted connection (SSL)
    • Outgoing server (SMTP) - if your outgoing mail server is mail.umd.edu select This server requires an encrypted connection (SSL).

      NOTE: Leave this un-checked for WAM, Glue or Deans.

  9. Click OK to accept the changes
  10. Click the Next button
  11. Click the Finish button
  12. If you did not enter your University Directory password in step 4, you will be prompted to enter it now.  Otherwise, Outlook will begin to retrieve your e-mail from Mail@umd, and you have successfully setup Outlook to access your Mail@umd account.
  13. If you are running Outlook 2003, be advised that Outlook 2003 is configured by default to NOT display any image files in the e-mail messages you receive. Instead of displaying the image, Outlook displays the following message: Right-click here to download pictures. To help protect your privacy, Outlook prevented automatic download of this picture from the Internet. You can right-click on any of these messages in the e-mail to then view the images.
    • If you do not like this setting, you can change it by clicking on Tools on the Outlook menu bar, then choosing Options. In the Options window, click on the Security tab, and then click on the Change Automatic Download Settings button. Read the explanation about why downloading images in e-mail messages compromises your security, but if you still want to change the setting, uncheck the box next to Don't download pictures or other content automatically from the Internet, then click OK
  14. To learn more about how to use and configure Outlook, click on Help on the Outlook menu bar and choose Microsoft Outlook Help or Microsoft Office Outlook Help (Outlook 2003).
