Hardware Loaner Rental Policies

Beginning January 2007, there will be a change in the Office of Information Technology's (OIT) Loaner Program’s borrowing policy. This new policy will apply to all faculty, staff, and teaching assistants of the University of Maryland, College Park. Please familiarize yourself with these new guidelines.

  • All faculty, staff, and teaching assistants of the University of Maryland, College Park may borrow equipment from the Help Desk (HD) loaner program.
  • All equipment must be reserved online, a minimum of 24 hours in advanced, by going directly to the HD-Loaner website: http://www.helpdesk.umd.edu/documents/3/3773/
  • Requestors will receive an e-mail confirmation within one (1) business day after submitting their reservations.
  • This confirmation will acknowledge the reservation and will confirm the equipment reserved, the pick-up date, the return date, and the total cost of the loan/loans.
  • Requestors will need to printout this confirmation and bring it with them when picking-up the reserved equipment.

Picking-up, Returning Equipment, and Fees

  • You may pick-up reservations by noon of the specified date and return it by 5.00 p.m. of the specified return date.
    Bring confirmation printout.
  • Payment is by check, cash, FAS, or invoice and must be made at the time of pick-up. (NOTE: The program does not accept credit cards.)
  • New fee structure for all borrowers: non-holiday and holiday
Non-holiday fees: For individual equipment that is borrowed for one day, the non-holiday daily fees are calculated on a daily basis and are as follows:
  • All projection systems (Christie and Dell) = $30
  • All laptops (Mac and Dell) = $20
For individual equipment borrowed for a week, the non-holiday weekly fees are calculated on a weekly basis and are as follows:
  • All projection systems (Christie and Dell) = $125
  • All laptops (Mac and Dell) = $75
For bundled equipment (1 projection system and 1 laptop) borrowed for a week, the non-holiday fees are calculated as follows:
  • 1 projection system and 1 laptop = $ 40 daily
  • 1 projection system and 1 laptop = $200 weekly
Holiday fees: (NEW)
This new structure will apply for both the December holiday and the Spring breaks
  • Individual and Bundle loans:
  • Individual equipment (laptop or projection system) = $75 for length of break
  • Bundle (1 laptop and 1 projection system) = $100 for length of break
  • If equipment is due and an extension of loan is needed, simply telephone the Office of Information Technology (OIT) Help Desk at least 24-hours prior to the date that the hardware is due and ask to speak to the hardware coordinator.
  • An extension will be granted depending to availability of equipment. There will be the customary daily fee levied on the extension; BUT with no late fee.
  • If equipment is returned late, overdue fees will be collected. The overdue fee will be calculated beginning with the first day after the equipment is originally due.
    • The normal daily borrowing fee PLUS a $15 daily late fee multiplied by the number of days overdue.
    • There will be no charge for weekends and/or when the University is closed for inclement conditions or emergencies.
    • If borrowed equipment is overdue and this delay in return causes the program to be unable to meet its next reservation, the borrower of the overdue equipment will incur all lost fees.
